A clear invoice avoids arguments, protects your income and makes your accounts easier at the end of the year. This guide covers what a dental clinic invoice should contain and how to think about discounts and GST. It is general guidance, so confirm the specifics for your clinic with your chartered accountant.
What a clear dental invoice includes
- Your clinic's details: name, address and contact number, and your logo if you have one.
- Your GSTIN, if your clinic is registered for GST.
- An invoice number and date. Numbers should run in sequence with no gaps or repeats.
- The patient's name.
- Each treatment as its own line, with the quantity and the price.
- Any discount, shown clearly.
- Any tax, shown as its own line rather than hidden inside the price.
- The total, and whether it has been paid.
- Notes, such as the next appointment or a payment arrangement.
Patients trust an invoice they can read line by line.
Discounts and tax: the order matters
When a discount and a tax both apply, the order changes the total. A common and clear approach is:
- Add up the treatments to get the subtotal.
- Take off the discount to get the discounted amount.
- Apply the tax percentage to the discounted amount.
- The result is the grand total.
For example, with a subtotal of 10,000, a 10% discount and 18% tax: the discount is 1,000, the discounted amount is 9,000, the tax is 1,620, and the total is 10,620. DentaSaaS follows this order, so the figures you see on screen match the PDF.
Where GST fits in
Many health care services provided by clinical establishments are exempt from GST in India, but exemptions come with conditions, and not every service or supply falls under them. Some procedures, for example certain purely cosmetic ones, may be treated differently. Whether you charge GST, and at what rate, depends on your registration and on the specific service.
That is a question for your accountant, not for software. Habits that keep billing clean
- Invoice on the day. Memory fades quickly. Create the invoice at or right after the visit.
- Track paid and unpaid separately. Knowing what is outstanding is the difference between chasing money and forgetting it.
- Handle long treatments in stages. For multi-visit work such as root canals or braces, agree how payment is split and record it against each session.
- Keep records in order. Numbered, dated invoices for every patient make year-end and any later question far easier.
- Give the patient a copy. A printed or PDF invoice ends most billing disputes before they start.
